This is a per­ma­nent, in-per­son, full-time posi­tion report­ing to the Oper­a­tions Direc­tor. Pri­ma­ry respon­si­bil­i­ties include keep­ing the Cen­ten­ni­al, CO office run­ning smooth­ly and over­see­ing exec­u­tive sup­port. There is poten­tial for more projects for the right per­son.

 RESPONSIBILITIES/ACCOUNTABILITIES:

  • Man­ag­ing an active cal­en­dar of staff appoint­ments; com­plet­ing expense reports; com­pos­ing and prepar­ing cor­re­spon­dence that is fre­quent­ly con­fi­den­tial; arrang­ing com­plex and detailed trav­el plans – domes­tic and inter­na­tion­al itin­er­aries, and agen­das; com­pil­ing doc­u­ments for trav­el-relat­ed meet­ings.
  • Pro­vides a bridge for smooth com­mu­ni­ca­tion between each Staff member’s office and inter­nal depart­ments; demon­strat­ing lead­er­ship to main­tain cred­i­bil­i­ty, trust, and sup­port with senior man­age­ment staff.
  • Works close­ly and effec­tive­ly with the staff to keep him/her well informed of upcom­ing com­mit­ments and respon­si­bil­i­ties, fol­low­ing up appro­pri­ate­ly. Acts as a “barom­e­ter,” hav­ing a sense for the issues tak­ing place in the envi­ron­ment and keep­ing the staff team updat­ed.
  • Coor­di­nat­ing the agen­da of the staff meet­ings and off-sites.

  • High lev­el writ­ten and ver­bal com­mu­ni­ca­tion skills.
  • Abil­i­ty to ensure good com­mu­ni­ca­tion with co-work­ers.
  • Strong orga­ni­za­tion­al skills that reflect abil­i­ty to quick­ly per­form and pri­or­i­tize
    mul­ti­ple tasks seam­less­ly with excel­lent atten­tion to detail.
  • Emo­tion­al intel­li­gence, strong inter­per­son­al skills and the abil­i­ty to build
    rela­tion­ships with stake­hold­ers, includ­ing staff, spe­cif­ic board mem­bers, and
    exter­nal part­ners.
  • Demon­strat­ed proac­tive approach­es to prob­lem-solv­ing; strong, inde­pen­dent
    deci­sion-mak­ing capa­bil­i­ty.
  • Proven abil­i­ty to han­dle con­fi­den­tial infor­ma­tion with dis­cre­tion.
  • Coor­di­nate team build­ing activ­i­ties and all hands meet­ings, team space plan­ning
    and floor moves.
  • Pre­pare, process, and track pur­chase order req­ui­si­tions and rec­om­mend
    pur­chas­es of office sup­plies.
  • Man­age and sched­ule exter­nal ven­dors ser­vic­ing the Cen­ten­ni­al office.
  • Sup­port of new office build out.
  • Abil­i­ty to find cre­ative solu­tions inde­pen­dent­ly.
  • May greet vis­i­tors and cus­tomers.
  • Knowl­edge of basic com­put­er pro­grams.

EDUCATION/TRAINING:

  • Under­grad­u­ate college/university degree.
  • Min­i­mum 7 years expe­ri­ence in busi­ness envi­ron­ment, sup­port­ing exec­u­tives
    and man­ag­ing an office.
